For clients and prospective clients

Client privacy policy

How Vera handles your information when you receive documents, complete forms, sign agreements, and receive related messages.

Effective September 22, 2026

Who this policy covers

Vera Documents is operated by Scaleframe, Inc. (“Vera,” “we,” or “us”). This policy explains how we handle information about people who receive document requests, complete forms, sign agreements, or receive related transactional messages through Vera. It also covers related recipient support and any intake information you provide through the service.

The law firm requesting your information or signature is a separate organization. The firm decides what to request and how to use it for its intake, legal services, and records. We process those records to provide the service to the firm and you. We also handle information for our own service security, support, and legal obligations. Ask the firm about its privacy practices and professional confidentiality obligations. This policy does not replace the firm’s notice or the terms of a document you sign.

Information we handle

Contact and request information. Your name, mobile number, email address, the requesting firm, and the document request. You or the firm may provide this information.

Forms, documents, and signatures. Information you enter or upload, documents a firm shares with you, signatures or initials, and your choices to complete, decline, or discuss a request. Depending on the document, this may include sensitive legal, financial, medical, or other personal information. Provide only what is relevant to the request.

Consent and transaction records. Text-message permission and opt-out records, disclosures presented to you, signing and authentication events, document versions, timestamps, and delivery or completion records.

Technical and support information. Browser and device information, network information such as IP addresses where collected by our service providers, security and error logs, and information you provide when contacting support. If a firm offers an intake conversation through Vera, we process the information you provide in that interaction; any recording requires the applicable notice and permission.

How we use information

We use information to deliver requested links, display and complete forms, facilitate electronic signatures, return records to the requesting firm, and provide transaction evidence. We also use it to verify access, prevent misuse, honor consent and opt-outs, troubleshoot problems, provide support, and meet applicable legal obligations.

Where an automated or AI-assisted feature is offered, information you provide to that feature may be processed by technology providers to perform the requested function. An automated response is not legal advice. The requesting firm remains responsible for its legal decisions. We do not use your Vera Documents SMS permission to enroll you in marketing.

When information is shared

The requesting firm and intended participants. The firm and its authorized personnel receive information you submit for its request. Intended signers or other participants may receive documents and completion records as appropriate to that transaction. Do not submit material you do not want the requesting firm to receive.

Service providers. Hosting, storage, communications, document-processing, security, support, and applicable technology providers process information needed to operate the service. Messaging providers and carriers receive information needed to route texts and handle delivery and opt-outs.

Legal and security needs. We may disclose information when required by law or legal process, or when reasonably necessary to protect rights, safety, and service security. A corporate transaction may involve transfer of service records subject to applicable protections and the restrictions below.

SMS privacy. No mobile information will be sold or shared with third parties for promotional or marketing purposes. This includes SMS opt-in information and consent, which will not be shared with third parties or affiliates for their marketing or promotional purposes. Sharing with providers to deliver the requested service does not authorize them to market to you. These restrictions apply despite any broader sharing language in this policy.

Your choices and requests

Texting is optional. Before receiving a Vera Documents text, you must consent to texts for the particular document request. Reply STOP to stop texts from the Vera Documents number across participating firms. You may receive a final opt-out confirmation. Reply START to remove that opt-out; permission for a new document request is still required. Reply HELP or call 518-406-8869 for assistance. Stopping texts does not delete records or cancel a document or agreement.

Depending on where you live and the circumstances, you may have rights to access, correct, obtain a copy of, delete, or restrict use of personal information, or withdraw consent. Contact us using the details below. We may verify your identity and coordinate with the firm when it controls the records. Legal obligations, the rights of others, and record-preservation requirements may limit a request. You may also contact the firm directly and, where applicable, your privacy regulator.

Retention, security, and processing location

Retention depends on the type of information, the firm’s instructions, the need to provide the service and preserve transaction evidence, and applicable legal or dispute-related requirements. Opt-out records may need to be retained to prevent further texts. Deleting a message from your phone does not delete the firm’s records or signing evidence.

We use access controls and other technical and organizational safeguards to protect service information. No system or transmission is completely secure. Protect your document links and do not forward them to someone who is not an intended recipient.

Information is processed in the United States and may be processed in other locations where our providers operate. Privacy laws in those locations may differ from those where you live.

Browser storage and children

Client-facing service features may use browser storage or similar technology needed for access, preferences, security, and operation. These privacy and terms pages do not include advertising pixels or analytics scripts.

Vera Documents is not directed to children under 13. A parent, guardian, or other authorized representative should coordinate with the firm when a matter involves a child. Contact us if you believe a child has provided information without the appropriate authorization.

Contact and policy changes

We may update this policy as the service or applicable requirements change. We will update the date on this page and provide additional notice when required. Any new use that requires consent will require that consent.
